TERMS OF SERVICE
Last updated: October 15, 2026
These Terms of Service ("Terms") are an agreement between you and Apollonian, Inc. ("Apollonian," "we," or "us"). They apply to the Apollonian website, apps, and services (the "Service"). By creating an account or using the Service, you agree to these Terms and to our Privacy Policy. If you do not agree, do not use the Service.
1. WHAT APOLLONIAN IS
Apollonian is a platform for therapists who work out-of-network and for their clients. Therapists use it for remote therapeutic monitoring, superbills, and out-of-network insurance claims. Clients use it for daily check-ins and questionnaires, and, with Premium, for activities, a journal, and insurance claim submission.
2. WHAT APOLLONIAN IS NOT
- Apollonian is not a healthcare provider and does not give medical, psychological, or legal advice. Your therapist is responsible for your care.
- Apollonian is not an emergency service. Check-ins are not monitored in real time. If you are in crisis, call or text 988 (Suicide & Crisis Lifeline). If you are in immediate danger, call 911.
- Apollonian is not an insurance company. We do not decide whether a claim is paid, and we cannot guarantee any reimbursement.
3. ELIGIBILITY AND ACCOUNTS
- You must be at least 18 years old to create an account.
- Give accurate information and keep it up to date.
- Keep your login private. You are responsible for activity on your account. Tell us right away at
support@apollonian.health if you think someone else has used it.
- One account per person. Do not create an account for someone else unless you are legally authorized to act for them.
4. FOR THERAPISTS AND PRACTICES
- Therapists pay nothing to use Apollonian, unless they choose to cover a client's Premium. There are no subscription, per-claim, per-session, or monitoring fees.
- Optional client coverage: you may choose to cover a specific client's Premium plan, for example as a hardship accommodation. It costs $25 per covered client per month, is billed to your card on file, and renews monthly until you cancel it, which you can do anytime in your settings. The client keeps Premium access while you cover it.
- Practices: a practice administrator can invite therapists to join the practice. Practice codes only connect a therapist or client to a practice; they do not give discounts or free trials.
- Therapists must also accept our Provider Terms of Use and Business Associate Agreement. They cover licensing, clinical and billing responsibility, monitoring and safety alerts, and how client health information is protected.
- If you use Apollonian to collect payments from clients, payments are processed by Stripe and are also subject to Stripe's terms.
5. FOR CLIENTS
- A client account is free.
- If your therapist enrolls you in remote therapeutic monitoring, Apollonian does not charge you for it. Your therapist may bill your insurance for monitoring, and you may owe a copay, coinsurance, or deductible under your plan. The RTM Informed Consent you will be asked to accept explains this.
- You can use Apollonian without a therapist. Information you enter is described in our Privacy Policy.
6. APOLLONIAN PREMIUM (CLIENTS)
What it includes: Activities, Journal, and unlimited insurance claim submissions with no per-claim fee.
Price: $25 per month, or $192 per year (billed once a year). Prices are in US dollars. Applicable taxes may be added. There is no free trial; you are charged when you subscribe.
Insurance claims: submitting any insurance claim through Apollonian requires an active Premium plan for the client. This includes claims your therapist submits for you and remote therapeutic monitoring claims. Creating and downloading superbills is always free, so you can always file a claim with your insurer yourself.
Covered by your practice: if your therapist or practice covers your Premium plan, you are not charged while they cover it.
AUTOMATIC RENEWAL: YOUR PREMIUM PLAN RENEWS AUTOMATICALLY AT THE END OF EACH MONTHLY OR YEARLY PERIOD, AND WE WILL CHARGE YOUR PAYMENT METHOD THE THEN-CURRENT PRICE UNTIL YOU CANCEL.
How to cancel: you can cancel anytime from your Profile page using "Manage" next to your plan, which opens our secure billing portal, or by emailing
support@apollonian.health. Cancellation takes effect at the end of your current billing period. You keep Premium until then and are not charged again.
Refunds: payments are non-refundable, and we do not give refunds or credits for partial periods, except where required by law. If we end your Premium plan early for a reason other than your breach of these Terms, we will refund the unused part of the period.
Price changes: we will tell you at least 30 days before a price change applies to you. The new price applies from your next renewal after that notice. You can cancel before then.
Failed payments: if a payment fails, Premium features may pause until payment is made.
7. INSURANCE CLAIMS AND SUPERBILLS
- When you submit a claim, you authorize Apollonian to send it, and the information needed for it, to your insurance company electronically through our clearinghouse (Stedi), and to receive status and payment updates.
- Claims are based on information provided by you and your therapist. You are each responsible for making sure it is accurate and complete. Do not submit false or misleading information.
- Whether a claim is paid, and how much, is decided by your insurance company under your plan, including out-of-network benefits and deductibles. Payment is made by your insurer according to its rules.
8. AI FEATURES
Some features use artificial intelligence (Google's Gemini models, through Google Cloud Vertex AI), for example reading an uploaded superbill or insurance card, writing journal reflections, and drafting suggested messages for therapists. AI output can be wrong. Review it before relying on it, and check claim details before submitting. AI output is not medical advice. Our Privacy Policy explains what information these features use.
9. ACCEPTABLE USE
You agree not to:
- Use the Service for anything unlawful, fraudulent, or harmful;
- Submit false or misleading information, including on insurance claims;
- Access another person's account or information without permission;
- Interfere with, probe, or overload the Service, or try to get around its security; or
- Copy, resell, or reverse engineer the Service.
10. YOUR CONTENT
You keep ownership of what you enter. You give Apollonian permission to host, process, and display it only as needed to provide the Service, as described in our Privacy Policy and, for therapists, our Business Associate Agreement. If you send us feedback, we may use it without obligation to you.
11. OUR PROPERTY
The Service, including its software, design, and content (other than your content), belongs to Apollonian or its licensors and is protected by law. We give you a personal, limited, non-transferable right to use the Service under these Terms.
12. OTHER SERVICES
The Service relies on third parties, including Google Cloud, Stripe, Stedi, and SendGrid. We are not responsible for services we do not control, but we choose providers carefully and describe them in our Privacy Policy.
13. ENDING YOUR USE
- You can stop using the Service at any time. Clients can delete their account from their Profile page; therapists can ask us to close their account at
support@apollonian.health. Cancel any Premium plan first if you do not want it to renew.
- We may suspend or close an account that violates these Terms, is used for fraud, or puts others at risk. Where reasonable, we will tell you first.
- After an account is closed, information is handled as described in our Privacy Policy and, for client health information, our Business Associate Agreement.
14. DISCLAIMERS
To the extent permitted by law, the Service is provided "as is" and "as available," without warranties of any kind, express or implied, including warranties of merchantability, fitness for a particular purpose, and non-infringement. We do not promise that the Service will always be available or error-free, or that any claim will be accepted or paid.
15. LIMITATION OF LIABILITY
To the extent permitted by law:
- Apollonian will not be liable for indirect, incidental, special, consequential, or punitive damages, or for lost profits, lost data, or denied or delayed insurance payments.
- Apollonian's total liability for any claim relating to the Service is limited to the greater of (a) the amount you paid Apollonian in the 12 months before the claim arose, or (b) US $100.
Some places do not allow these limits, so they may not apply to you. Nothing in these Terms limits liability that cannot be limited by law.
16. INDEMNITY
If you are a therapist or practice, you agree to defend and indemnify Apollonian against third-party claims arising from your clinical services, the information you submit (including claims), or your violation of these Terms or the law.
17. GOVERNING LAW AND DISPUTES
These Terms are governed by the laws of the State of Maryland, without regard to its conflict-of-law rules. Before filing a claim, please contact us at
support@apollonian.health so we can try to resolve it informally. Disputes will be heard in the state or federal courts located in Maryland, unless the law where you live gives you the right to bring a claim there.
18. CHANGES TO THESE TERMS
We may update these Terms. If a change is material, we will tell you by email or in the app before it takes effect, and we may ask you to accept the new version. If you do not agree, you can stop using the Service and cancel any plan.
